Position: Design Assistant

Work Schedule: Full Time. The schedule itself is always changing and flexibility is required. Some weeks will consist of standard M-F hours, but others will have weekend shifts (especially in the summer months). The schedule for a Bespoke Design Assistant is largely determined by your lead designer. 

As a design assistant, you’ll be expected to spend most time in the Bespoke office during office hours, and be onsite during weekends and evenings as required to execute your events, activations or displays.  

Rate of Pay: 38-42k annually

Bespoke Decor is a growing design and rental company based in Vancouver.  We design and serve hundreds of film productions & events ranging from weddings to large corporate production. We are a small but mighty team taking on over more than 800 events annually. We give a damn about our clients and work hard to provide great service, high quality items and thoughtful design.

What we are looking for: 

As a design assistant, we are looking for someone who can provide excellent customer service with a positive, kind and helpful demeanor. We need someone to assist our lead designers with site visits, sourcing items, communicating and collaborating with clients and vendors and general errands leading up to event days. This person needs to be able to lead a team onsite when the designer is unavailable and is able to hustle, take direction and provide clear communication, not only to the onsite team, but to the warehouse team and office team. 

A large part of this position is that this person needs to be very detail oriented and organized. We need someone who’s a self starter, communicates clearly & efficiently, enjoys meeting new people and talking to clients and vendors. This person would also need to enjoy working independently, while also capable of working in a team. 

Duties required: 

  • Attend site visits with your Lead Designers
  • Help with research on sourcing and getting initial quotes for any outsourced services/items
  • Keep track of all client timelines and ensure asana (task management software) is up to date to reflect each client’s progress and updates 
  • Provide feedback and design ideas to your Lead Designers
  • Assisting with communicating and collaborating with clients and other vendors (florists, caterers, other decor companies)
  • Obtaining creative content for signage, sending final files to print and cross referencing all creative printed materials
  • Cross reference checks and help finalize RW (invoicing software) orders.
  • Help with event prep including pick up/ drop off decor items.
  • Communicate with the Warehouse and Operations Manager, and provide logistical details and information to your Lead Designers
  • Event set up (including, but not limited to: packing/unpacking the decor, hanging lighting/displays, setting and styling tables, assisting with floral arrangements, etc.)
  • Event lead (leading onsite when Lead Designer is not available) 
  • Event tear down (carefully re-packing decor).
  • Able to take directions and feedback from Lead designers
  • Able to oversee/lead the loading and unloading of the truck when setting up/ tearing down
  • Communicate with the Lead Designers, Warehouse Manager and Office Team to ensure smooth processes and happy clients.

  • BC Class 5 Drivers License and personal vehicle
